How It Works

The Meeting Time Zone Finder helps distributed teams schedule meetings across time zones by visualizing overlapping work hours.

Steps
  1. Add participants and select their time zones (or use Quick Add)
  2. Set the desired working hours window (default 9 AM – 5 PM)
  3. Use the time slider to quickly compare a specific time across all zones
  4. View the schedule grid to see overlapping availability
  5. Check the suggested best meeting times below the grid
Understanding the Grid

Each row shows one participant's working hours mapped to a common UTC reference. The Overlap row highlights hours where all participants are available. Green cells indicate core working hours, yellow indicates extended hours, and gray indicates off hours.

Tips for International Meetings
  • Rotate meeting times: Share the inconvenience of early/late meetings fairly
  • Record meetings: Allow team members to catch up asynchronously
  • Consider split meetings: Cover widely separated time zones with two sessions
  • Be mindful of DST: Time zone offsets change during daylight saving transitions
  • Use UTC as reference: UTC doesn't change with daylight saving time

  • UTC: Coordinated Universal Time (reference)
  • EST/EDT: Eastern Time (US) — UTC-5/-4
  • PST/PDT: Pacific Time (US) — UTC-8/-7
  • GMT/BST: UK Time — UTC+0/+1
  • CET/CEST: Central European Time — UTC+1/+2
  • JST: Japan Standard Time — UTC+9
  • AEST/AEDT: Australian Eastern Time — UTC+10/+11
